Getting customers
Turning a prospect into a customer: 7 good habits
Call back fast, ask the right questions, send a clear quote, follow up: the habits that turn more prospects into customers.
Receiving requests is half the job. The other half is turning them into customers. Two businesses that receive the same requests can get very different results depending on how they respond. Here are seven simple habits.
1. Respond fast
Someone with an urgent need often calls several businesses. The one who picks up or calls back first has a clear advantage. If you cannot answer, call back as soon as possible, ideally within the hour. For messages and forms, a quick reply, even a short one, shows you are serious.
2. Have a clear voicemail
If you are on a job, a simple greeting helps: your name, your trade and a promise to call back quickly. Avoid the operator's generic voicemail.
3. Ask the right questions
On the first contact, try to understand:
- the exact need and how urgent it is;
- where the job is;
- any constraints (access, times, budget);
- whether photos could help.
A customer who feels understood trusts you more.
4. Send a clear quote quickly
A readable quote sent quickly is reassuring. Detail the main items, the duration, the payment terms and how long the quote is valid. A quote sent several days after the call is less likely to be signed.
5. Follow up without pushing
Many customers do not answer because they forgot or are hesitating. A polite follow-up a few days after sending the quote is often enough: "Have you had a chance to look at the quote? Do you have any questions?"
6. Keep your promises
Arriving on time, warning when you are late, leaving the site clean: these details bring good reviews and word of mouth. And reviews are also what makes you more visible on Google. See getting visible on Google in your city.
7. Track your numbers
Every month, write down how many requests you receive, how many quotes you send and how many are signed. These three numbers show where you lose customers: if few calls become quotes, work on your first response; if few quotes are signed, work on your price or your follow-up.
An example call-back
"Hello, it's James, the plumber. You called me earlier about a leak. Is it still an issue? Can you describe what you see?" Simple, quick, focused on the need.

Frequently asked questions
How quickly should I call a prospect back?
As fast as possible, ideally within the hour. The longer you wait, the more likely the customer has found someone else.
Should I follow up on a quote with no answer?
Yes, once or twice, politely. Many customers simply forget to reply.
How do I find out why I lose customers?
Track three numbers every month: requests received, quotes sent, quotes signed. The step where the number drops shows you what to improve.
